Order Admin and Receptionist.

20 minutes SOUTH  of the NRG Stadium.

The manufacturing administrator and receptionist will manage the processing of all incoming calls/orders as well as manage aspects of purchasing by using the ERP platform and giving logistics quotes!

*********MUST BE ABLE TO WORK WITH MICROSOFT WORD AND EXCEL***********
  • Check detail order documentation for accuracy against customer requirements.
  • Answer phones and direct phone calls to appropriate staff member
  • Greet visitors and direct them to proper location
  • Enter detailed notes on service order completion
  • Enter in AP invoices as needed
  • Communicate delays, issues or concerns to internal partners daily
  • As a company representatives work with customers to find what they want, create solutions and ensure a smooth sales process
  • Communicate order status directly with customers, both by phone and email
  • Enter customer orders into system
  • Communicate status of orders and availability of material to customers
  • Assist with shipping paperwork/freight quotes
  • Perform clerical work such as typing, copying, envelope stuffing and mailing
  • Assisting sales assistant and customer service manager as needed

Other Responsibilities:
  • Check mailbox daily, separate and distribute mail to staff
  • Completing all paperwork neatly and correctly
  • Taking proper care of equipment used while performing job
  • Performing other duties as required by supervisor
  • Maintain customer and other office files
  • Manage company office supplies

Essential Qualifications:
  • Experience 15 years’ experience as receptionist or administrative work in manufacturing
  • Must have proven experience and knowledge of similar roles within a fast paced production environment
  • Computer literate and ability to use office equipment
  • Great phone etiquette
  • Ability to multi task
