Donovan and Watkins has partnered with a client in downtown Houston and is seeking a part-time payroll specialist with UltiPro experience to join their team. The schedule will consist of working Monday through Wednesday.  The position will pay between $25/hr. - $30/hr.

 

The reponsibilites will include the following:

 
  • Day to day operations of full cycle payroll functions 
  • Multi-state payroll processes including processing payroll & payroll taxes in-house, payroll reconciliation, reporting
  • Ensure regulatory compliance
  • Assist with streamlining payroll processes and establish policies and controls within the payroll function
  • Active and influential in the current UltiPro payroll database rebuild (new environment configuration and data conversion)

Summary  

 

This position  is responsible for  the day to day operations of the Houston Astros Payroll function, primarily focused on US multi-state payroll processes including processing payroll & payroll taxes in-house; ensuring regulatory compliance.   The role will  lead an initiative to streamline payroll processes and establish policies and controls  within the payroll function.   The  position will also be active and influential in the current  UltiPro  payroll database rebuild (new environment configuration and data conversion).   The  incumbent in this position  will have frequent and regular interactions with other functional departments and Management throughout the company.  

 

Essential Functions 

Payroll Operations: 

  • Make  ongoing process and system  improvements  to ensure  high  performance in the delivery of payroll services. 

  • Develop  process improvements to  ensure  the quality, efficiency and overall effectiveness of the payroll functions. 

  • Implement a system of internal controls  to increase accuracy and decrease risk of fraud and errors. 

  • Comply with federal, state and local taxing authority requirements by  remaining up to date on  existing and new legislation; enforcing adherence to requirements; advising management on needed actions; analyzing impact on payroll system. 

  • Ensure that systems and processes correctly compute and record time, earnings, employee benefits, special deductions, mandated benefits, taxes, garnishments and other items that affect net pay and/or company liability. 

  • Maintain and reconcile player non-resident taxes, charge-back accounts (per diem, hotel, etc.) for proper payroll deductions. 

  • Develop, maintain, update and communicate organization-wide payroll policies and processes regarding earnings, deductions, time keeping as well as government compliance reporting. 

  • Participate actively in  all internal and external  payroll  audits;  act as a point person for all payroll reporting needs. 

  • Prepare data and create reports to meet all compliance reporting needs. 

  • Partner with the HR team, Finance, & other internal customers to ensure effective  intra-  and inter-departmental  processes and issue resolution. 

  • Ensure general ledger support through reconciliation and analysis of payroll related balance sheet accounts,  general  ledgers, and journals.  

 

 

Payroll Taxes, to include but not limited to: 

  • Deposit all withholding tax payments in a timely manner via electronic payments or checks  where required (Federal, State and Local tax amounts). 

  • Responsible for all quarterly and  annual filing for all  payroll withholding taxes and unemployment taxes. 

  • Balance all taxes between registers, year to date totals, general ledger accounts and tax deposits. 

  • Manage the resolution of all tax notices, including negotiation of tax abatements and refunds with federal, state, and local jurisdictions. 

Other related responsibilities: 

  • Coordinate with HR regarding new hires, terminations, remuneration and conditions of service. 

  • Assist with special projects, where necessary, and complete other duties as assigned  or requested. 

 

 

Qualifications:  Required Competencies & Skills 

 

  • Bachelor' s degree in  Accounting or Business  or an equivalent level of experience. 

  • Comprehensive knowledge of payroll management.   

  • High proficiency with computer programs, specifically  with various Payroll and Human Capital Management Systems.   

  • Exceptional attention to detail, problem solving ability, and strong analytical skills. 

  • A strong interpersonal and customer service skills, team orientation, and the ability to communicate effectively at all levels. 

  • Planning and organization: an ability to plan and manage multiple projects. 

  • Business process improvement experience.  

 

Preferred Qualifications 

  • Certified Payroll Professional (CPP) designation is preferred. 

  • Strong technical competency in Ultimate  Software’ s UltiPro  system  is especially  preferred and will set you apart.   

  • Software implementation  and database structuring  experience is an added plus. 

 

Supervisory  Responsibility 

 

This position  may be  responsible for managing  other  Payroll staff resources.
